Terms and Conditions for the Stand Down Awards Luncheon fundraiser. 

 
1. Event Overview

These Terms and Conditions (“Terms”) govern attendance, participation, sponsorship, and ticket purchases for the Stand Down Awards Luncheon fundraiser (the “Event”), hosted by Veterans Village of San Diego (VVSD) on Saturday, March 14th at the Hyatt Regency La Jolla at Aventine (the “Venue”).

By purchasing a ticket, table, or sponsorship, or by attending the Event, each participant (“Guest” or “Sponsor”) agrees to be bound by these Terms.

 
2. Tickets, Tables, and Sponsorships

All ticket, table, and sponsorship sales are subject to availability and are confirmed only upon receipt of full payment and written/electronic confirmation from VVSD.
Tickets and tables are non-transferable except with prior written consent from VVSD.
Sponsorship benefits (e.g., logo placement, recognition, seating, and hospitality) are as described in the current sponsorship package and may be adjusted for production or operational reasons at the discretion of VVSD.
 
3. Pricing and Fair Market Value

The ticket and sponsorship prices include both a charitable contribution and the fair market value (“FMV”) of goods and services received at the Event, such as food and beverage, event production, and entertainment.
VVSD will provide a written acknowledgment for tax purposes indicating the FMV of Event benefits per seat or sponsorship and the amount, if any, that may be tax-deductible as permitted by law. Guests and Sponsors are advised to consult their own tax advisors.
 
4. Payment Terms

Payment is due in full at the time of purchase unless otherwise agreed in writing.
Accepted payment methods may include credit card, check, or electronic funds transfer, as specified in Event registration materials.
If payment via check or invoice is not received by the specified due date, VVSD reserves the right to release tickets, tables, or sponsorship benefits.
 
5. Cancellations, Refunds, and Substitutions

All ticket and sponsorship purchases are generally non-refundable, as proceeds support the charitable mission of VVSD.
In cases of Guest cancellation, substitutions for attendees from the same organization may be allowed with advance notice to VVSD.
If the Event is postponed, tickets and sponsorships will be honored for the rescheduled date; if the Event is canceled and not rescheduled, VVSD may, at its discretion, offer refunds of the non-deductible portion or treat the full amount as a charitable contribution.
 
6. Event Modifications and Force Majeure

VVSD reserves the right to modify the Event program, speakers, honorees, entertainment, schedule, menu, or seating plan at any time.
If the Event must be canceled, postponed, or modified due to circumstances beyond the reasonable control of VVSD (including but not limited to acts of God, natural disasters, public health emergencies, strikes, or Venue-related issues), VVSD will use reasonable efforts to communicate changes promptly but shall not be liable for any resulting costs, losses, or damages incurred by Guests or Sponsors.
 
7. Venue Rules and Conduct

Guests must comply with all Venue rules and policies, including but not limited to health and safety protocols, accessibility guidelines, and restrictions on outside food and beverages.
VVSD and the Venue reserve the right to refuse admission or remove any Guest whose behavior is disruptive, unsafe, or otherwise violates these Terms, Venue policies, or applicable laws, without refund.
 
8. Photography, Video, and Media Release

The Event may be recorded, photographed, or livestreamed for promotional, archival, and fundraising purposes by VVSD or its designees.
By attending the Event, Guests and Sponsors grant VVSD a non-exclusive, royalty-free, worldwide license to use their name, likeness, image, and/or voice in any current or future media in connection with the Event and the mission of VVSD, without further notice or compensation, to the extent permitted by law.
 
9. Personal Property and Liability

Guests are responsible for their personal belongings. Neither VVSD nor the Venue shall be liable for any loss, theft, or damage to personal property.
To the fullest extent permitted by law, Guests and Sponsors agree to release and hold harmless VVSD, its directors, officers, employees, volunteers, agents, and the Venue from any claims, liabilities, damages, or expenses arising out of or related to attendance at the Event, except to the extent caused by gross negligence or willful misconduct.
 
10. Accessibility and Special Accommodations

VVSD aims to make the Event accessible and inclusive. Guests who require dietary accommodations, mobility assistance, ASL interpretation, or other accommodations are encouraged to notify VVSD in advance.
While reasonable efforts will be made to meet requests, accommodations are subject to feasibility, Venue constraints, and timely notice.
 
11. Data Privacy and Communications

By purchasing tickets or sponsorships or registering for the Event, Guests and Sponsors consent to the collection and use of their contact information by VVSD for Event administration, acknowledgments, and future communications related to its mission and events.
Guests may opt out of non-essential marketing communications by using the unsubscribe options provided or by contacting VVSD directly.
 
12. Compliance with Laws and Ethics

All Event-related activities, including sponsorships and contributions, are intended to comply with applicable federal, state, and local laws and ethical standards, including charitable solicitation regulations.
Sponsors and Guests are responsible for ensuring that their participation complies with any internal policies or legal restrictions applicable to them (e.g., government employee gift rules or corporate ethics policies).
 
13. Governing Law and Disputes

These Terms and any disputes arising in connection with the Event shall be governed by and construed in accordance with the laws of the State of [State], without regard to its conflict-of-law principles.
Any dispute that cannot be resolved informally may be brought in the state or federal courts located in [County, State], and Guests and Sponsors consent to the exclusive jurisdiction of such courts.
 
14. Acceptance of Terms

By purchasing a ticket, table, or sponsorship, or by attending the Event, Guests and Sponsors acknowledge that they have read, understood, and agree to these Terms and Conditions.
VVSD may update these Terms from time to time; the version in effect on the date of the Event will govern participation.
