Strawberry Moon Festival
Vendor Rules & Guidelines
Camp Mattatuck - Plymouth, Connecticut

We are so excited to welcome vendors to the Strawberry Moon Festival at Camp Mattatuck! This family-friendly community celebration is all about fun, creativity, and connection-and these guidelines help ensure a safe, smooth, and enjoyable experience for everyone.

 
1. Vendor Fee & Application
The vendor fee is $40.00 per space. The fee is a donation to support Camp4All - Scouting Across Connecticut, providing more youth with access to outdoor adventure!
Submission of an application does not guarantee acceptance.
All applications will be reviewed to ensure a good fit with the festival's family-friendly mission.
Vendor fees are non-refundable once accepted, except in the event of festival cancellation.
 
2. Family-Friendly Event Policy
This is a family-friendly, alcohol-free event.
No alcohol, smoking, vaping, or recreational drugs are permitted anywhere on camp property.
Products, displays, signage, and interactions must be appropriate for children of all ages.
 
3. Insurance Requirements
All vendors must submit a copy of their current Certificate of Insurance (COI) to Jeromy.nelson@scouting.org
 
4. Food Vendor Requirements (If Applicable)
Food vendors must provide:

A valid food service license
All required state and local permits
Approval from the Torrington Area Health District
Compliance with all health, safety, and sanitation regulations at all times
Vendors can use a generator for food trucks, inquire with Jeromy.Nelson@Scouting.org if you have questions. Must follow all local and food safety guidelines.
 
5. Vendor Space & Setup
Vendors are responsible for their own setup, supplies, tables, tents, weights, power needs, and displays.
We have very limited access to power. If you need power for a specialized machine or medical equipment, please reach out to Jeromy.Nelson@scouting.org. Gas or loud generators are prohibited from the vendor area.
Vendors should be at the camp by 8:00 AM to set up; no cars will be allowed near the vendor areas after 9:15 AM. We will have a special parking area set up for vendors after setup. 
All tents must be properly secured for safety. Tents are not required, but this is a rain-or-shine event. 
Vendors must remain within their assigned space. 
 
6. Clean-Up & Site Care
Vendors are fully responsible for their space throughout the event.
Help us protect the environment; your area must be left exactly as found, clean, free of trash, debris, and damage.
Any trash generated by your booth must be removed by you at the end of the event.
 
7. Liability & Responsibility
Vendors participate at their own risk and assume full responsibility for their products, equipment, staff, and customers.
Event organizers and Camp Mattatuck are not responsible for loss, theft, damage, or injury related to vendor participation.
 
8. Weather & Event Changes
The festival is planned as a rain-or-shine event.
Vendors should be prepared for outdoor conditions.
The event organizers reserve the right to make schedule or layout changes if needed for safety or weather.
 
9. Priority for Future Events 🌕🍓
We love building long-term partnerships!

If the Strawberry Moon Festival returns next year, current vendors in good standing will receive first consideration and priority placement before the application opens to new vendors.
 
10. Agreement to Rules
By submitting an application, vendors acknowledge that they have read, understand, and agree to abide by all festival rules and guidelines.
